EHL Privacy Policy

The Ecole hôtelière de Lausanne (EHL) is committed to protecting your privacy. This privacy policy explains the types of information that are collected through EHL websites and how we use that information. This policy covers your interactions with Ecole hôtelière de Lausanne (including EHL Holding SA and all companies part of the EHL Group), through our main website (www.ehl.edu), mobile applications and online platforms (altogether “EHL Websites”), as well as through correspondence with EHL.

The intended audience of our Websites does include minors (individuals under the age of 18), particularly college-bound students ages 16-18. If you are the parent or guardian of a minor who has provided us with personally identifiable information, and you would like to have the information removed, please contact us at: privacy(at)ehl.ch

Data we collect on EHL Websites
EHL Websites may ask you to provide different types of personal information depending upon the materials and services you wish to access. A.    Browsing
EHL Websites automatically recognize and collect certain data about your computer and connection, including the type of Internet browser you use, time spent on EHL Websites, the pages visited and the IP address of your internet service provider (ISP). 

EHL Websites may place a session ID on your browser or retrieve information from your browser using cookies. You can choose not to allow different types of cookies but blocking them may impact your experience and certain functionalities of the website, thereby affecting the services we offer. B. Brochure & document downloads
Most of the brochures and other documents that are available for download on EHL Websites do not require you to create an account. However, some downloads will prompt you to fill in a form with the following basic information: first name, last name and email address.

C. Application & registration forms
To access the online application, apply for one of EHL’s programs or events, or request detailed information about certain courses or publications, you may be asked to provide personal data, including but not limited to: first and last name, email address, mailing address, phone numbers, program of interest and educational background. For some programs, you may also be asked to provide information about your current employer or employment history. 

D. Online Services and Marketing Communications
Using EHL Websites enables you to access various online services, such as surveys and applications (Online Services), provided by EHL or through subcontractors. By downloading, accessing and/or using these Online Services, you expressly consent to the collection of personal data relevant to those services.

You can choose not to receive our emails and marketing communications any time. To opt out of email communications, use the unsubscribe link which is clearly displayed at the bottom of all the email communications we send, or contact us at privacy(at)ehl.ch

How we use the data collected
We process your personal information for the following purposes: to monitor and improve our Websites; to fulfill security purposes; to provide you with an excellent customer experience; to ensure that we provide you with the proper information; to monitor our performance ;  to provide you with relevant information about programs, services, news and events; to establish and/or manage our relationship with you;  to deliver our services to you; to comply with any legal obligation. 

We do not sell, rent, disclose  or otherwise make available any personal information to third parties except as described or with your consent. However, we reserve the right to disclose information to authorities or third parties when it’s legally mandatory, required in connection with legal or regulatory proceedings or in relation with our legitimate interests. Additionally, your personal data may be shared in the following ways:

EHL uses subcontractors for certain services it provides, or for business support purposes. Your data may be shared with these subcontractors.   Any personal information or data shared with them will be limited to what is necessary to provide their service. EHL assumes the responsibility of ensuring that these third-party providers offer sufficient guarantees to ensure the protection of your personal data.  Additionally, we may have to share your personal information with any third-party organizations and individuals delivering portions of EHL programs. 


Links to Third-party Websites
Our Websites contain links to other sites. Although the EHL logo and references to EHL may appear on some third-party websites, this Privacy Policy applies only to information collected via EHL Websites. Users are encouraged to read the privacy statements of every website that collects personally identifiable information.

How EHL protects your data 
At EHL, we take appropriate and reasonable security measures to protect your personal  data. We take appropriate organizational and technical security measures to ensure that any personal data we hold is not accessed by unauthorized persons. 

The information you provide to us is stored on:
•    Our Servers hosted in Switzerland on the EHL premises, controlled by EHL in a secure environment, in a locked facility, or in the European Economic Area (EEA) zone in accordance with applicable laws and regulations.
•    Servers owned and/or controlled by EHL for the purpose of processing data collected by third parties on behalf of EHL, or in the EEA zone in accordance with applicable laws and regulations. 
•    Your information provided for specific programs or Services may be stored outside Switzerland or EEA on hosted service providers’ cloud servers. This information is processed in accordance with applicable laws and regulations and EHL Privacy Policy by our different service providers. Specifically, EHL enforces the Swiss-U.S. Privacy Shield Framework as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information transferred or located to the United States.

International Data Transfer
Personal information submitted on the Websites or via Services is generally processed by EHL in Switzerland on our servers or on our hosted service providers’ cloud servers on our behalf.  This data may be processed in other countries, and these countries may not have the same data protection laws as your country of residence. However, we will always protect your information in accordance with this Privacy Policy and applicable laws, wherever it is transferred.

Alumni website
Upon successful completion of an EHL degree program you automatically become an alumnus, and your personal information will become available to fellow EHL alumni via the EHL alumni website platform. Such information will enable the EHL alumni department and the regional ‘stamms’ to inform you of alumni events (reunions, conferences, etc.). They will also enable the EHL alumni department to send you communications, surveys and information requests.

You can choose whether or not you want to be visible on the alumni website platform and in the alumni ‘stamms’. You can also choose which kinds of communication you want to receive. 

The information displayed on the alumni website platform to connected users will include your first name, last name, programs and year(s) attended; as well as any additional information you have provided. You can, at any time, request full deletion of your data from the EHL alumni website.

Changing and updating personal information
Please make sure that all personal information you provide to EHL is accurate, and ensure that this information remains accurate and up to date.

Your rights 
You can ask EHL to remove your information at any time. To access your personal information, get any information related to it, or have it modified, updated or deleted in whole or in part, please contact EHL at privacy(at)ehl.ch.

Under the data protection regulations, you have a number of rights with regard to your personal data.  You have the right to request from us access to your personal data, rectification or erasure of your personal data; you have the right to restrict, or to object to processing of your data. You have rights in relation to automated decisions making and profiling, as well as in certain circumstances the right to data portability. Where we are processing data based on your consent, you have the right to withdraw that consent at any time.

The rights are subject to some exceptions and will not always apply to all circumstances.

Upon request, your personal data, including your contact details shall be deleted from our marketing and alumni databases. 

Changes or Updates to this Privacy Policy
EHL’s Privacy Policy adheres to the requirements for data protection under Swiss law, including the rules, principles and obligations therein. Therefore, this document is subject to change following changes in the Swiss law.  We may also need to change this Privacy Policy from time to time as we improve our Websites and Services.  Please periodically review this Privacy Policy.
